Short answer · Updated for the 2026 season
Book transportation for a Toronto corporate holiday party as soon as your venue and date are confirmed, ideally 4 to 6 weeks ahead. Thursday and Friday nights from late November to mid-December are the first to sell out. For most teams the simplest plan is one vehicle there and staggered rides home: a Sprinter for 11 to 14 people, a party bus for 14 to 32, and sedans or SUVs for the late leavers. Hourly hire starts from $445 for 3 hours in a sedan.
Most office party planning starts with the venue, the food and the entertainment. Transportation is usually the last thing on the list, and in a Toronto December it is often the thing that goes wrong: a team stuck waiting for app rides in the snow at 1 a.m., colleagues driving home after a few drinks, or half the office arriving late because two buildings had to be collected. This guide is written for HR teams, office managers and executive assistants who want the night to start and end smoothly.
Why Transportation Makes or Breaks the Night
- Attendance goes up: when the ride is taken care of, people who live far away or do not drive downtown are far more likely to come.
- Everyone arrives together: speeches, dinner service and photos start on time instead of waiting for stragglers.
- Nobody needs to drive: it removes the awkward question of who is driving home after the toast.
- It shows care: a ride home is one of the most appreciated perks of the evening, and it reflects well on the company.
When to Book Holiday Party Transportation
Most companies lock their venue in the summer or early fall, and entertainment books up by September. Transportation is the next wave. In Toronto, Thursday and Friday evenings from the last week of November to the middle of December are the busiest nights of the year for group vehicles, followed by Saturdays. Weeknight parties early in December, or January “new year” celebrations, have much more choice.
| When | What to do |
|---|---|
| As soon as the venue is confirmed | Share the date, venue address, rough headcount and pickup offices with us to hold vehicles |
| 4 to 6 weeks before | Confirm vehicle types, pickup times and how people will get home |
| 2 weeks before | Final headcount, home-zone list (who lives east, west, north, downtown) and the on-site contact |
| 3 days before | Send staff the pickup sheet: where, when, which vehicle and the contact number |
| On the night | One named host checks names on and off each vehicle |
Which Vehicle Fits Your Group
Choose the vehicle by headcount first, then by the feel you want. These are the capacities in our fleet.
| Vehicle | Passengers | Best for | Starting price |
|---|---|---|---|
| Luxury sedan | Up to 3 | Executives, VIP guests, late rides home | 3 hours from $445, then $135 per hour |
| Executive SUV | 6 to 7 | Leadership teams, small departments | 3 hours from $482, then $144 per hour |
| Sprinter van | 11 to 14 | Departments travelling together, office-to-venue shuttles | $195 per hour, 3-hour minimum (from $585) |
| Stretch limousine | 8 to 20, depending on model | A celebration feel for a team or award winners | Quoted on request |
| Party bus | 14 to 32 | Whole-office celebrations, holiday light tours, bar or venue hopping | Quoted on request |
For larger groups, combine vehicles: for example, a party bus for 32 plus a Sprinter for 14 covers 46 people. See our party bus service and Sprinter van service for details.

The ride home is where most of the planning effort pays off. A few simple rules make it smooth:
- Plan two or three return times: for example 10 p.m. for parents and early starters, 11:30 p.m. for the main group and a last run after the party ends.
- Group people by home zone: downtown, west (Etobicoke and Mississauga), north (Vaughan, Richmond Hill and Markham) and east (Scarborough and Durham). One vehicle per zone saves time and money.
- Name a host for each vehicle: someone who checks names on and off, so nobody is left behind at the venue.
- Keep one car on standby: a sedan or SUV for anyone who needs to leave early or unexpectedly.
- Share the plan in advance: staff relax when they know exactly where and when their ride home leaves.
If the party runs late, extra time is billed at the hourly rate for that vehicle, so it is worth agreeing in advance who can approve an extension on the night.
Multiple Offices and Toronto Venue Logistics
- More than one office: we plan a route that collects each location in order, or send a separate vehicle to each office so everyone arrives at the same time.
- Hotel and downtown venues: agree on one door for pickups and drop-offs. Downtown curbs on Front Street, King Street and around Union Station get very busy in December.
- Coat check timing: the last pickup run should leave 15 to 20 minutes after the venue starts returning coats, not when the music stops.
- Winter weather: add 15 to 30 minutes to pickup times on snowy nights. Our dispatch team tracks traffic and weather and adjusts timings with your contact person.
- Accessibility: tell us about any guest who uses a mobility aid, so we plan the right vehicle and enough space.
Drinks on Board
On our stretch limousines and party buses, guests aged 19 and over may enjoy drinks during the ride. In sedans, SUVs and Sprinter vans, drinks stay sealed. Your chauffeur will go over the details when you book, and we always recommend having water on board and food before the ride home.
Make the Ride Part of the Celebration
Some teams turn the ride into part of the event: a party bus tour of the city’s holiday lights before dinner, a stop at a second venue for dessert, or a festive trip to Niagara. Our guides to the Toronto holiday light tour by party bus and the Casa Loma holiday lights have ideas. Many companies now host an inclusive “holiday” or year-end celebration rather than a Christmas party, and the same transportation plan works for both.
Corporate Holiday Party Transportation Costs
Group vehicles are often cheaper per person than people expect. Based on our starting hourly rates for a 3-hour booking, before HST:
| Vehicle | Group | 3 hours from | About per person |
|---|---|---|---|
| Sprinter van | 14 people | $585 | $42 |
| Executive SUV | 6 people | $482 | $80 |
| Luxury sedan | 3 people | $445 | $148 |
- Included: a professional chauffeur, the vehicle for the booked time and planning help from our dispatch team.
- Added: HST, extra hours at the hourly rate, and Highway 407 tolls only if you ask for that route.
- Gratuity: not included and up to you.
- Company billing: corporate accounts can be invoiced monthly, which keeps holiday party costs in one place for finance.
