Choosing an Airport Taxi or Limo in Toronto: 3 Checks Before You Book

Chauffeur holding the car door for a business traveller

Most airport ride problems are not bad luck. They come from questions nobody asked before booking: what the final price includes, what happens if the flight is late, where to meet the driver, and whether the car fits everyone’s bags. This guide turns those questions into three quick checks you can run on any airport taxi or limo company in Toronto, including us, in about five minutes.

The Short Answer

Before you book an airport ride in Toronto, confirm three things in writing:

  1. Price: the fare for your route, plus every charge that can be added on top (airport pickup fee, HST, card fee, waiting time).
  2. Timing: how the company follows your flight, how much free waiting time you get, and exactly where you will meet the driver.
  3. Vehicle: the vehicle class that will arrive, the number of seats and suitcases it holds, and whether child seats are available.

If a company cannot answer all three clearly, that is your answer.

Check 1: Do You Know the Full Price Before You Pay?

A “flat rate” only tells you that the fare will not change with traffic or the route the driver takes. It does not tell you what is added on top. The surprise at the end of an airport ride is almost always one of the items below.

Charges that are commonly added to an airport fare

ChargeWhat it isWhat to ask
Airport pickup feeToronto Pearson charges ground transport companies a fee for each passenger pickup. Is it included in my price, or added? How much?
HSTOntario sales tax on the ride.Is the price I see before or after tax?
Waiting timeTime the driver waits after your flight lands or after the booked pickup time. How many free minutes do I get, and what does each extra minute or hour cost?
Card processing feeA percentage some companies add when you pay by credit card.Is there a fee for paying by card?
Extra stopsA stop on the way, such as picking up a colleague.Does an extra stop change the price?
Child seats and meet and greetOptional add-ons.What does each add-on cost?

How these charges work at VVIP Toronto Limo

  • Fare: one flat fare for your route, set when you book.
  • Pearson pickup fee: $17.25 per pickup at Toronto Pearson ($31.05 for the Sprinter van), added on top of the fare. We show it before you book.
  • Free waiting: 30 minutes for domestic arrivals and 45 minutes for international arrivals, counted from when your flight actually lands. After that, waiting is billed at the hourly rate for your vehicle.
  • Card payments: a 2.4% processing fee.
  • Optional extras: meet and greet inside the terminal ($149) and child seats ($20 to $45).

Current fares for every vehicle are on our rates page.

A simple way to add up your real total

Write the quote down as a short sum before you pay. For an arrival at Pearson in a sedan, it looks like this: route fare + $17.25 pickup fee + any extras you chose + HST, plus 2.4% if you pay by card. If any line is missing from a company’s quote, ask about it before you book, not after you land.

Check 2: What Happens When Your Flight Changes?

Flights land early, land late, change gates and sometimes get cancelled. A good airport service has a plan for each of these before it happens.

Your flight is delayed

Give the company your flight number, not just a time. A company that tracks flights moves your pickup to the new landing time by itself. Ask how many free waiting minutes you get once the plane is on the ground, because customs and baggage can take a while on international arrivals. We track every airport pickup and adjust the driver’s dispatch time when your arrival changes.

Your flight lands early

This is where flight tracking matters most. If the company only knows your original time, you may wait at the curb. Ask whether they watch the live arrival time, not just the schedule.

Your flight is cancelled or your plans change

Call or message the company as soon as you know. Then check the cancellation rules you agreed to. Ours are simple: cancellations made 24 hours or more before pickup receive a 75% refund, minus a $25 admin fee. Cancellations within 24 hours, and bookings made less than 24 hours before pickup, are non-refundable. Full details are in our cancellation and refund policy.

You cannot find your driver

This is the most stressful airport problem, and the easiest to prevent. Before you fly, make sure you have the company’s phone number saved, you know which terminal you arrive at, and you know where the meeting point is. If you are travelling with children, lots of luggage or for the first time, a meet and greet inside the terminal removes the guesswork.

How early should you book a ride to the airport?

Work backwards from your flight. Most airlines ask you to arrive about 2 hours before a domestic flight and about 3 hours before an international flight. Add the drive time from your address, then add a buffer for rush hour or bad weather.

Your flightArrive at the airportExtra buffer to add to drive time
Domestic, middayAbout 2 hours before departure15 to 20 minutes
Domestic, weekday rush hourAbout 2 hours before departure30 to 45 minutes

Check 3: Will the Right Car Show Up?

“Limo” can mean anything from a standard car to a stretch vehicle. For airport trips, the questions that matter are simple: what model class arrives, how many people it seats comfortably, and whether your bags will fit.

Match the vehicle to your passengers and bags

Who is travellingA good fitWhy
1 to 3 people with normal luggageExecutive sedanComfortable and the lowest fare for most routes
Families, or 3 people with large suitcasesSUVMore seats and far more cargo space
Up to 7 people7-passenger SUVOne vehicle instead of two cars
Groups of 8 to 14, sports teams, wedding guestsSprinter vanEveryone and their bags travel together

When you book, tell the company how many large suitcases, strollers, golf bags or ski bags you have. Luggage, not passengers, is the most common reason a car turns out to be too small.

Travelling with children

For young children, a properly fitted car seat or booster is the safest choice. Ask for a seat when you book and give the child’s age and weight so the right one comes with the car. We offer child seats for $20 to $45.

What “executive class” should mean

  • A late-model luxury vehicle. Ours are less than three years old, including the Mercedes-Benz S-Class and the GMC Yukon XL Elevation.
  • A clean, smoke-free cabin.
  • Bottled water and a phone charger. We include both in every car.
  • The class you booked arrives, not a substitute.

Red Flags When Booking an Airport Ride

  • The quote does not say whether the airport fee or tax is included.
  • No written free waiting time.
  • The company asks for your arrival time but not your flight number.
  • You are not told which vehicle class will arrive.
  • Cancellation rules are only explained after you pay.
  • No phone number you can reach at the time of your flight.

Frequently Asked Questions

Is the price I see online the final cost?

The fare for your route is fixed when you book. For Toronto Pearson pickups, the $17.25 airport pickup fee ($31.05 for the Sprinter van) is added on top, and card payments carry a 2.4% processing fee. We show these before you pay.

How much free waiting time do I get at the airport?

With us, 30 minutes for domestic arrivals and 45 minutes for international arrivals, counted from when your flight lands. After that, waiting is billed at the hourly rate for your vehicle.

What happens if my flight is delayed by several hours?

We track your flight and move the driver’s dispatch time to match the new arrival. You do not need to call us for a delay.

Should I book meet and greet?

It is worth it if you are arriving with children, a lot of luggage, a guest who does not know the airport, or on an international flight. The driver meets you inside the terminal. With us it costs $149.

How far in advance should I book an airport ride?

A few days ahead is usually enough. Book earlier for holiday weekends, very early morning flights and group vehicles like the Sprinter van.

Are child car seats available?

Yes. Child seats are available on request for $20 to $45. Tell us your child’s age and weight when you book.
